What we collect,
and what we never do with it.
Cloverly answers phone calls for local trade shops. That means we record calls, write them down, and send text messages. This page says exactly what that involves, who sees it, and how to make it stop. It is written for shop owners and the people who call them.
Who we are and what this covers
This policy covers the Cloverly website, the phone and text service we run for trade shops, and the owner dashboard at getcloverly.com.
Cloverly is a done-for-you front office for local trade businesses. When a tree service, HVAC shop, plumber, restoration company, or mobile diesel mechanic can't get to the phone, our system answers, works out what the job is, books an estimate, and texts the owner. The service is operated by the company identified below — and that identification is still a placeholder, which the block itself says.

The short version
If you read nothing else on this page, read these seven lines.
- We do not sell or rent personal information. We are not in that business and never have been.
- We never share mobile phone numbers or text-message consent with anyone for their own marketing or promotional purposes.
- Calls answered by Cloverly are recorded and transcribed. Callers are told at the start of the call, before anything else.
- The agent cannot stop the recording partway through a call. If you don't want to be recorded, hang up at the announcement, or ask us afterwards and we delete the recording and the transcript.
- Reply STOP to any Cloverly text and the texts from that shop end.
- If you called a shop, that shop decides what happens to your information. We follow its instructions and help it act on your request.
- Everything is stored and processed in the United States.
Two different people are reading this
A homeowner who called a plumber and the plumber who hired us have different relationships with us, and different routes to get something changed.
- Callers and customers
- You called or texted a shop that uses Cloverly. The shop, not Cloverly, decides what happens to your information. We handle it on the shop's behalf and under its instructions. In privacy law terms, the shop is the controller and we are the processor, or service provider.
- Shop owners and their staff
- You pay us for the service. We handle your business and account information for our own purposes: running the service, billing you, and supporting you. For that information, we are the controller.
- Website visitors
- You are reading getcloverly.com. We collect basic analytics about the visit, described further down.
If you are a caller and want a recording deleted or your details removed, the fastest route is to ask the shop directly. You can also email us at the address at the bottom of this page. We will pass the request to the shop and help it act on the request, which is what the law requires of a processor.
What we collect when you call or text
Your number, what you tell the agent about the job, the recording, the transcript, and the outcome of the call.
- Your phone number, and the caller ID name if the carrier sends one.
- Anything you tell the agent: your name, the service address, what's wrong, when you're available, whether it's urgent.
- An audio recording of the call and a written transcript of it.
- The content and timestamps of text messages between you and the shop's number.
- Call details: date, time, length, which number you dialed, the language you spoke, whether you were transferred, and whether an estimate got booked.
Don't give the agent sensitive numbers
Cloverly does not ask for card numbers, bank details, Social Security numbers, or medical information, and does not need them to book a job. If you say one out loud it lands in the recording and transcript, which is why we ask you not to. Tell us if it happens and we will remove it.
Call recording and transcription
Calls answered by Cloverly are recorded and transcribed. We announce it at the start of every call, in every state. There is no mid-call stop — the route is to hang up, or to have the recording deleted afterwards.
Recording is how the service works. The recording becomes a transcript, the transcript becomes the job details the owner reads on their phone, and the recording is the owner's proof of what was actually promised on the call. We also review a small number of calls to check the agent is answering correctly.
Before the conversation starts, the agent says the call is recorded. That announcement runs on every line we answer, in English and in Spanish. Text message threads are stored but are not announced, because the message itself is the record.
Recording law is set by the states, and the states disagree. Utah, where our first clients operate, allows a recording when one party to the call consents, under Utah Code section 77-23a-4. Other states require every party to agree first. A caller can be anywhere, so we do not try to guess which rule applies: we announce recording on every call, before anything else, which satisfies the strictest rule.
The states that generally require every party to consent are California, Connecticut, Delaware, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Oregon, Pennsylvania, and Washington. A few of those apply the rule only to phone calls and not to in-person conversations, and the list changes as legislatures and courts move. The announcement is universal so that the list never has to be right.
If you don't want to be recorded
We will not describe a button that does not exist. The agent cannot stop recording partway through a call today — it is not built. What you can do: hang up when you hear the announcement and call the shop's own line instead, or finish the call and then tell us. Email the privacy address at the bottom of this page, or ask the shop, and we delete the recording and the transcript of that call. If we build a mid-call stop, this paragraph changes and the effective date at the top moves.
Recordings and transcripts are visible to the shop you called and its staff, to a small number of our people for support and quality checks, and to the service providers that carry and store the audio for us. They are not sold, not published, and not used to advertise anything to you.
Text messages, and how to stop them
You get a text because you called a shop that uses Cloverly or asked one to text you. Reply STOP and it ends.
- Why you're getting it: confirming an appointment we booked, following up on a call you made, or asking for a review after the work was finished. The shop's name is in the message.
- Message frequency varies. Messages are triggered by your calls and your jobs, not sent on a schedule.
- Message and data rates may apply. That's between you and your mobile carrier.
- To stop: reply STOP, END, QUIT, CANCEL, UNSUBSCRIBE, REVOKE, or OPT OUT. Capitals, spelling, and punctuation don't matter.
- Plain English works too. “Please stop texting me” is a valid opt-out and we honor it the same way.
- You get one confirmation message and nothing after that. We stop as soon as we process the request, and no later than ten business days.
- For help, reply HELP, or contact the shop directly. Your carrier can't turn these off for you; we can.
- Stopping texts from one shop does not stop texts from a different shop that also uses Cloverly. Each one is separate.
We never share mobile numbers
Mobile phone numbers, text-message opt-in records, and consent information are never sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. We share them only with the service providers that deliver the message for us, and only so the message can be delivered.
What we collect from shops
If you're the owner, this is your side of the ledger: business details, the people we text, your calendar, and billing.
- Business name, address, service area, hours, and the license and insurance details you want the agent to be able to state.
- Owner and staff names, mobile numbers, and email addresses, so we can text you a booked job and sign you into the dashboard.
- Your pricing, availability, and the script rules you configure.
- Calendar access, if you connect one. With your authorization we read availability and write appointments on the calendar you select. We do not read calendars you didn't connect.
- Billing information. Our payment processor handles the card. We see the plan, whether the charge succeeded, and the last four digits. We never store a full card number.
The website and analytics
We count visits and see which pages get read. We don't run advertising trackers and we don't sell what we learn.
- Pages viewed, how you got here, rough location from your IP address, and your device and browser type.
- Cookies and similar storage, used to measure the site and to keep you signed into the dashboard.
- We do not run advertising trackers, do not do cross-context behavioral advertising, and do not sell or share this for anyone else's marketing.
What we use it for
Answering the phone, booking the job, telling the owner, and getting paid.
- Answering calls, understanding the job, and answering questions about the shop.
- Booking, moving, and confirming appointments on the shop's calendar.
- Texting the owner and the caller about the job, and asking for a review after the work is done.
- Showing the owner a record of every call, what it was about, and what revenue it recovered.
- Support, troubleshooting, and quality checks on how the agent handled a call.
- Billing, fraud prevention, and keeping the service secure and available.
- Meeting our legal obligations and responding to lawful requests.
What we never do with it
The list of things this data is not for.
- We do not sell or rent personal information.
- We do not share mobile numbers or SMS consent with third parties or affiliates for their own marketing or promotional purposes.
- We do not sell leads. A call to one shop is that shop's call.
- We do not use one shop's customer information to help a different shop.
- We do not use call content for advertising or ad targeting.
- We require our service providers, by contract, not to use client call content to train their own general-purpose models.
Who else sees it
The shop you called, the vendors that make the phone ring and the calendar update, and nobody else without a legal reason.
- The shop you called
- It gets the call recording, the transcript, your contact details, and the job details. That is the entire point of the service.
- Telephony and messaging providers
- The carrier that carries the call and delivers the text message. They receive your number and the message content because there is no other way to deliver it.
- Speech and language processing providers
- The vendors that turn speech into text and run the conversation. They receive call audio and transcripts to provide that processing for us.
- Calendar provider
- Only the calendar a shop connected, and only the appointment we are writing or the availability we are checking.
- Payment processor
- Shop billing only. Callers' information is never sent to it.
- Infrastructure providers
- Hosting, database, backup, and error monitoring, all in the United States.
- Legal and safety
- We disclose information when the law requires it, in response to valid legal process, or to protect someone from harm. We tell the affected shop unless we are legally barred from doing so.
We contractually require every one of these providers to use the information only to provide the service to us, and never for their own purposes. A current list of the named providers is available on request from the privacy address at the bottom of this page. If the business is ever sold or merged, this information may move with it, and this policy continues to apply until we tell you otherwise.
How long we keep it
Recordings and transcripts do not sit around forever. These are the defaults; a shop can ask us to shorten any of them for its own account.

Opt-out records are the one thing we keep forever, and we keep them on purpose. Deleting the record that you asked us to stop texting is how a business ends up texting you again.
How we protect it
Encrypted in transit, access limited to the people who need it, and each shop's data walled off from every other shop's. Encryption at rest is not in place yet, and this section says so.
- Information is encrypted in transit. Traffic between you and this site, between the carrier and us, and between us and every provider we use runs over TLS.
- Information is not yet encrypted at rest. Call transcripts, recording links, and job details sit in our database in plain text, protected by access control and network isolation rather than by encryption of the stored fields. We would rather write that down than imply a control we have not built. When it changes, this line changes with it.
- Access is limited to the people who need it to run and support the service, and access is logged.
- Every record is scoped to the shop that owns it. One client cannot see another client's calls, customers, or calendar.
- Recordings and transcripts are not copied onto laptops or personal devices.
No system is perfect, and anyone who tells you otherwise is selling something. If we learn of a breach affecting your information, we will notify the affected shop without undue delay, tell it what we know, and help it meet its own notification obligations.
Your choices and your rights
You can get a copy, fix it, delete it, stop the recording, and stop the texts. None of it costs anything.
If you called a shop, ask the shop first. It holds the decision. If that goes nowhere, or you'd rather come to us, email the privacy address below and we will route it and help the shop act on it. If you are a shop owner, most of this is in your dashboard, and the rest is one email away.
- Ask what we hold about you and get a copy of it.
- Correct anything that's wrong.
- Delete it, including a call recording, unless we're required to keep it.
- Have the recording of a call you were on deleted, for any reason or none.
- Stop the text messages by replying STOP.
State privacy laws, including the Utah Consumer Privacy Act and California's, give residents rights to know, delete, and correct their personal data, and to opt out of its sale or of targeted advertising. We do not sell personal data and do not do targeted advertising, so there is nothing there to opt out of, but the other rights apply and we honor them regardless of which state you live in.
We will confirm who you are before we act on a request, because handing someone else's call recording to the wrong person is its own privacy problem. We do not charge for requests and we will not treat you differently for making one. If we turn a request down, we'll tell you why, and you can appeal by replying to that email.
Children
Cloverly is a tool for businesses. It is not built for children and we don't knowingly collect their information.
The service is not directed to children under 13, and we do not knowingly collect personal information from them. If a child called a shop and left details on a recording, contact us and we will delete it.
Where your information is processed
In the United States.
Cloverly stores and processes information in the United States. If you contact a shop from outside the US, your information will be transferred to and handled in the US, under US law.
Changes to this policy
We date every version. Changes that actually matter get an email to the shops before they take effect.
When we change this policy, we update the effective date at the top. If a change materially affects how we handle information, we will email the shops we work with at least ten days before it takes effect. Earlier versions are available on request.
